PTO Event Committee Coordinators

We are seeking parent volunteers to fulfill roles as Committee Coordinators for our Sugartown PTO sponsored community events. All committee coordinators are supported in their planning roles by a designated PTO Vice President. 

 

Volunteer level of commitment varies based on the needs of each committee. Larger events will have more additional volunteer assistance, and the PTO Executive Board is available as active volunteers on all comittees.

Committee Coordinator Opportunities

Fall Festival/Trunk or Treat
Due to the success of our first attempt at this, now an annual event! This is a combined Fall Festival/Trunk or Treat event that will occur in the back parking lot of the school. Planning, ideally, begins over the summer with a focus on behind the scenes logistics such as securing food trucks and games/entertainment. The event then progresses into securing trunk hosts (working with the Communications Coordinator), seeking candy donations, and organizing fall-themed activities

Hospitality
This is a year long committee that assists one of our designated Vice Presidents with planning our monthly Stock the Staff Room initiative as well as our Teacher Appreciation Dinner (November) and our Teacher Appreciation Week Breakfast (May). This committee is the perfect fit for someone who enjoys planning mini themed events. Ideally, we would love to have one parent from each grade level volunteer

Sugartown Cares Program
Volunteers in this committee assist with shopping for clothing, food, and essential items for students in need (funds supplied by the PTO), as well as running our annual winter coat drive (December through February), and securing snacks as needed for school distribution (again funded by the PTO)

Sugartown Night Out
Assist with planning monthly fundraising opportunities through Dine & Donates and community hosted events (such as Philly Rock Gym, iCore fitness, Code Ninja, etc). Additionally, assist with securing corporate and business sponsorships for the PTO. This is, predominantly, a remote position that requires community reach out for scheduling.

Teacher Flower Distribution
Organize our annual "Thank You For Helping Me Grow" flower distribution for the teachers. Planning begins in February to secure a florist, working with the Communications Coordinator to create flyers for the event, and ends in March with delivery of the flowers to the teachers at school

4th Grade Events
Assist with the planning of the 4th grade end of the year bash! Planning begins around January to secure dates and vendors (if needed). This should be staffed by 4th grade parents

Yearbook
Year long position, predominantly gathering photos at school events for use in the 4th grade yearbook. This would be best filled by 4th grade parents as it also involves creation of the Yearbook through Entourage. Creation of the yearbook usually begins in January and ends with yearbook delivery in May.

Spring Fair
Work as a team to plan and carry out our Spring Fair. Planning begins early in January and ends mid-May. This includes securing food trucks and games/entertainment.

Spring Fair Raffle Baskets
The Spring Fair Raffle Basket Coordinator oversees the planning, organization, and execution of the raffle basket component of the Spring Fair. This role serves as the central point of contact for all raffle basket activities and works collaboratively with Basket Bosses, the Spring Fair Committee, and PTO Board to ensure a successful, organized, and engaging experience for students and families.

Trivia Night
Work as a team to plan and host our annual Trivia Night (off-site at a local restaurant) as well as our online auction that occurs during the event. Planning begins in September as time is needed to reach out to community businesses to secure auction donations
